Position Summary

Will work with Customer Service Manager to assist in the following functions: filing, general accounting processing, billing, order processing, etc.

Job Functions:

  • Assist in matching incoming receipts, invoices and customer orders together.

  • Matches printed check stubs to the backup, checking for correctness and maintaining the vendor files by filing the matched items on the same day.

  • Filing and file maintenance of records.

  • Assists customer service department to ensure timely preparation and approval of support documentation.

  • Assists in preparing routine and ad hoc analytic reports in the analysis of customer performance. Provides administrative support for pricing, rebilling and deliveries with customers.

  • Administers and maintains vendor agreements and assists in setting up new customers.

  • Helps resolves product or service problems; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction and following up to ensure resolution.

  • Helps prepare customer credit notes as defined in company internal control procedures in an accurate and timely fashion. Assists in maintaining customer accounts by recording account information. Helps maintain financial accounts by processing customer adjustments.

  • Assists in preparing product or service reports by collecting and analyzing customer information.

  • Manages large amounts of incoming calls.

Experience/Education:

  • Preferred: Experience in Customer Service or Administration with AR/AP

Other Requirements:

  • Proven ability to function in a positive and collaborative manner with a strong and seasoned staff.

  • Strong written and verbal communication skills.

  • Sound planning and organizational skills.

  • High level of proficiency in PC spreadsheets.

  • Experience with office machines to include calculator, copier, computer & fax machine.
